What are guest accounts in Google Workspace?
A Google Workspace guest account is a managed identity within your Workspace domain for an external, non-Workspace person, such as a contractor using another mail system. The feature is designed to let that person collaborate in Workspace apps while acknowledging that the data they access belongs to your organisation.
When one of your users invites an eligible external user in Google Chat, Google provisions a guest account with a unique account identifier and places it automatically in a dedicated Workspace Guests organisational unit in your Admin console.
From there, you can manage access, apply policies, review accounts, and control security settings without moving those guests into other OUs.
How guest accounts work
The workflow is simple: a user in your organisation invites an external, non-Workspace user through a Google Chat direct message or Chat space, and that external person receives an email invitation to join. After they accept the invitation and the terms, they can collaborate with your team using Chat, Meet, Drive, Docs, Sheets, and Slides within the limits Google has defined for guests.
Google ties this feature to your existing external chat controls, so users who are already allowed to chat externally can typically invite guests unless an admin restricts that with the separate guest invitation setting.
How to add a guest in Google Workspace
For most organisations, adding a guest starts with an end user, not an admin creating an account manually. A permitted user invites an eligible external, non-Workspace person in Google Chat, and Google then creates the guest account and sends the invitation email automatically.

If you have admin permission on your domain, you can manage Guests by navigating in the Admin console to Security > Access and data control > External sharing > Guest invitations.
If you use Gmail client-side encryption, there is a separate control under Data > Compliance > Client-side encryption > Gmail > Encryption with guest accounts.
What guests can do
Guest accounts are meant for collaboration, not full tenancy membership. Guests can join chats and spaces they are invited to, search chats they are part of, access shared Drive files, comment and edit supported files, and join Meet calls from Chat invites sent by internal users.
They can also be @mentioned and work across Chat, Drive, Docs, Sheets, Slides, and Meet in a way that feels close to normal collaboration for day-to-day project work. At the same time, guests cannot create Chat spaces, install Chat apps, add others to spaces, or own new files in Google Drive.
Cost and Benefits
The biggest benefit is control over security and data protection policies for non-Workspace collaborators.
The second benefit is cost and simplicity. You get 5 free guest accounts for every paid Business or Enterprise licence, so a company with 10 paid licences can support up to 50 guests without buying 50 full Workspace seats.
The third benefit is data governance. Your organisation retains ownership of data created and shared within your Workspace domain when working with guests, and guests cannot create or own new Drive files, which reduces the sprawl you often get with unmanaged external collaboration.
Guest account vs full Workspace account
If a contractor only needs to chat with your team, join meetings, and work on files you share, a guest account is usually the lighter and cheaper option. It gives them controlled access inside your environment without handing them a full mailbox, Calendar, broader app access, or a standard user lifecycle.
If the contractor needs an email address with your brand, full Gmail and Calendar access, broader app entitlement, consistent inclusion in your standard identity model, or ownership of files and everyday internal-user capabilities, a full Google Workspace account is still the better fit.
Guests are a restricted user type designed for collaboration with non-Workspace users, not a replacement for fully managed employees or long-term embedded contractors.
Limitations to know
Invitations cannot be sent to email addresses already associated with Google accounts, including consumer Gmail accounts (@gmail.com), existing Workspace accounts, Google Workspace Essentials Starter accounts, and consumer Google accounts created with non-gmail.com addresses.
Feature access is also narrower than for a normal employee account. Guests do not have access to Gmail, Google Calendar, or Gemini in Workspace, cannot be included in Dynamic Groups, and have many Chat and Drive restrictions around space creation, app installs, sharing control, and ownership actions.
There is also an edition boundary. Guest accounts in Google Chat are supported across Business and Enterprise SKUs, while guest use with Gmail client-side encryption requires Enterprise Plus with the Assured Controls add-on.
Who should use this feature?
Guest accounts are especially useful for agencies, suppliers, freelance specialists, legal reviewers, and project-based contractors who need access to conversations and documents, but not a full corporate identity.
They are a weaker fit when the person is effectively part of your internal workforce. In that case, the missing Gmail, Calendar, Gemini, broader Chat rights, and file ownership capabilities will likely push you toward a standard licensed Workspace user instead.
