What is Google Workspace Studio?

Google Workspace Studio is a built-in platform that lets you create automations across apps such as Gmail, Drive, Docs, Chat and Calendar.

Each automation follows a simple “if this, then that” logic, but can reason through context using Gemini, read emails and documents, and make multi‑step decisions.

Workspace Studio is grounded in your organisation’s data, respecting your data privacy, and is built into the same Workspace environment you already use.

Is Google Workspace Studio free?

While Google Workspace Studio is available on most Google Workspace plans, we recommend Business Standard or higher to get the most out of its features.

Business Starter accounts can see the interface, but your limits are highly restricted, and you’ll miss out on the advanced AI “steps” that make the tool truly powerful.

Google Workspace Studio is not available on the free personal (@gmail.com) accounts.

Google Workspace Studio Limits

As of early 2026, the following Google Workspace Studio limits apply (per user):

  • Business Starter: 100 flow executions per month
  • Business Standard or Plus: 400 flow executions per month
  • Enterprise Standard or Plus: 400 flow executions per month

A flow execution is counted whenever your “Starter” event happens and the flow starts. Even if a flow begins but fails due to an error, it still counts as an execution because system resources were used.

AI Expanded Access: 2,000 flow executions per month
AI Ultra Access: 10,000 flow executions per month

Other general limits:

  • Usage limits don’t roll over, and they can’t be shared with other people.
  • You can create up to 100 flows in total, whether they’re on or off.
  • No more than 25 of your active flows can start from Gmail events.
  • Each flow can have up to 20 steps.

How to Access Google Workspace Studio

You can access Studio at studio.workspace.google.com or via the Studio shortcut (double‑arrow icon next to Gemini) in Gmail, Drive and Chat.

Admin Check: If you can’t see it, your Google Workspace Admin may need to enable it in Google Admin Console (Apps > Google Workspace > Workspace Studio).

Step-by-Step: Setting Up Your First “Flow”

A “flow” consists of a Starter (the trigger) and Steps (actions). Let’s build a flow that automatically saves invoices from email attachments in a specific Google Drive folder.

1. Start a new flow: Log in to Google Workspace Studio and click “New Flow”

2. Choose a starter: Select “When I get an email” and choose the option “Specific emails”. In settings, add a filter: Has the words “Invoice”

3. Add an action: Click “Choose a Step” and then “Add email attachments to Drive”. Choose the location in Drive, and for Gmail attachments, select the variable “Step 1: Email attachments”

4. Test and turn on: Click “Test Run” to see it in action with a recent email. If it looks good, hit “Turn On”
