WAA! is a 60-strong integrated marketing agency offering digital, creative and PR services to global and national clients and has around 30 years experience creating business for a variety of clients including 3M, Vaillant, Westfield, City & Guilds and Searcys.

The company needed to address a number of different challenges across the business, ideally through one cohesive solution. A significant amount of IT resource was being spent managing servers, handling administrative tasks and on individual user issues. In addition, due to the continuing success of the agency, internal communication, project management and collaboration across the group was growing as a challenge. This, coupled with a need to manage IT costs, improve reliability, security and maintain legal compliance led them to seek a new approach.

After face to face consultations to discuss process and benefits with Refractiv, a Google for Work Premier Partner, WAA! decided to move its 60 staff across to Google Apps for Work. The company also opted for Google Vault to provide email archiving and e-discovery together with Backupify, a comprehensive backup and restore solution, for selected key staff.

Once Google Apps was in place for WAA! efficiency benefits were instantly visible in terms of collaboration between Account Handlers, Project Managers and the Finance Department, mainly through more effective shared systems, spreadsheets and documents. The move also provided robust version controls, allowing more efficient and simultaneous working.

The ability to communicate via Hangouts and Chat also proved to be incredibly useful both inside and outside the Group. Some clients are already Google Apps converts, embracing the concept of saving travel time and expenses for shorter less critical meetings. The purchasing and IT departments have also made excellent use of the Chat facility with suppliers and Google spreadsheets have proved to be an instant hit with the finance department by streamlining the purchase order system and other business management documentation.

Another great benefit of the switch to Google Apps has been for WAA!’s Account Handling team who are frequently ‘out on the road’ visiting clients and require off-site access to documents, presentations and spreadsheets. The IT mobility that Google Apps offers means that, unlike before, they have access to whatever they need whatever mobile device they happen to have with them.

After a successful switch to Google Apps, WAA! continue to use Refractiv’s comprehensive Google Apps support package and have plans to add further users during the next few months.
